1. Who we are

Rail Proximity Screening ("we", "us") is operated by Arturo Jesus de la Cruz Saavedra as a UK sole trader. We provide an indicative early-stage rail proximity screening service at railproximity.co.uk.

2. What information we collect

When you use our service we may collect:

  • Postcode — the UK postcode you enter for screening.
  • Site notes — any free-text notes you optionally enter at checkout.
  • Email address, name, business name, billing address — collected only when you purchase a paid detailed report, captured via our payment processor Stripe.
  • Payment information — handled entirely by Stripe; we never see or store your card details.
  • Query box submissions — any postcode, comment or question you submit via the Queries section of our homepage, plus the reference ID we generate for it.
  • Anonymous usage analytics — page views and event counts (e.g. "free screening run", "paid report downloaded"). We do not use cookies, Google Analytics, or any third-party advertising tracker.
  • Server logs — your IP address and browser type may appear in temporary server logs maintained by our hosting provider Vercel.

4. Who we share it with

We share data only with the processors needed to deliver the service:

  • Stripe (Stripe Payments Europe Ltd) — processes all payments. See stripe.com/privacy.
  • postcodes.io — UK postcode lookup. Open service maintained by Ideal Postcodes; uses ONS Code-Point Open data.
  • Vercel (Vercel Inc.) — application hosting. See vercel.com/legal/privacy-policy.
  • Cloudflare (Cloudflare, Inc.) — domain DNS and inbound email routing for support@railproximity.co.uk. See cloudflare.com/privacypolicy.
  • Google (Google LLC) — our Queries box submissions are routed via a Google Apps Script endpoint to a Google Sheet for response handling.
  • OpenStreetMap — we use OpenStreetMap rail geometry under the Open Database Licence (ODbL). OpenStreetMap does not receive your data; we only consume their data.

We do not sell your data. We do not share your data with marketing or advertising networks.

5. International transfers

Some of the processors above (Stripe, Vercel, Cloudflare, Google) operate internationally and may process data outside the UK. All transfers rely on appropriate safeguards such as the UK International Data Transfer Agreement or equivalent.

6. How long we keep it

  • Postcode screening queries — not persistently stored beyond your browser session, except in aggregate anonymous analytics counts (no individual record retained).
  • Paid report records (email, billing details, postcode, notes) — retained for 7 years from the date of payment in line with HMRC tax record-keeping requirements.
  • Query box submissions — retained until resolved, then archived in the Queries log for up to 3 years for service-improvement reasons.
  • Server logs — short retention (typically under 30 days) per Vercel's defaults.

7. Your rights under UK GDPR

You have the right to:

  • Access the personal data we hold about you
  • Rectify any inaccurate or incomplete data
  • Erase your data ("right to be forgotten") — except where we are legally required to retain it (e.g. HMRC tax records)
  • Restrict processing in certain circumstances
  • Portability — receive your data in a machine-readable format
  • Object to processing based on legitimate interests
  • Withdraw consent at any time (where consent is the lawful basis)
  • Complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113

To exercise any of these rights, email support@railproximity.co.uk with your request. We aim to respond within 30 days.

8. Cookies and tracking

We do not use marketing or analytics cookies. We do not embed third-party tracking pixels (no Google Analytics, no Facebook Pixel, no advertising trackers). Our hosting provider Vercel may set technical cookies required for the site to function correctly.

9. Children's data

Our service is intended for professional use by planners, architects, developers and rail-industry professionals. It is not directed at children under 18 and we do not knowingly collect data from children.

10. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top of this page reflects the most recent change. We will not materially reduce your rights without prominent notice on the website.
